COMMERCIAL GYM EQUIPMENT IMPORT CHECKLIST
A practical checklist for professional buyers preparing a commercial fitness equipment order from product selection through quotation, production, QC and shipping handoff.

WHAT SHOULD BE CONFIRMED BEFORE AN ORDER?
Confirm the product basis, commercial basis and execution basis separately. The product tells you what you are buying; the quotation defines what is included; manufacturing and QC define how the confirmed order will be executed before shipment.
DEFINE THE BUYING REQUIREMENT
Before asking for a price, clarify the buyer type, target market or project, product category, estimated quantity and destination. This helps the supplier recommend the correct level of equipment instead of quoting a random model.
- Buyer type and target customer
- Cardio / strength categories needed
- Estimated quantity or project size
- Destination country
- OEM or branding requirement
VERIFY THE MODEL-LEVEL DATA
Review the actual model page or confirmed specification sheet. Product dimensions, net/gross weight, packing data and configuration should not be mixed between similar-looking models.
If a field is incomplete or looks questionable, confirm it before quotation or freight calculation instead of assuming the source data is correct.
CONFIRM THE QUOTATION BASIS
A quotation should be read together with quantity, product configuration and trade basis. Confirm what is included, the applicable Incoterm, current lead time, payment terms and any additional charges before placing the order.
- Model and quantity
- Unit price and currency
- Trade term / shipment basis
- Payment terms
- Current production lead time
- Packing basis and order-specific charges
LOCK OEM DETAILS BEFORE PRODUCTION
Logo, color, labels, packaging and selected configuration should be confirmed before manufacturing. Availability can depend on the model, quantity and component or packaging supplier requirements.
VIEW OEM BUYING LOGIC →SEPARATE PRODUCTION FOLLOW-UP FROM FINAL QC
Manufacturing Control keeps the approved order visible during production. Finished-product Quality Control checks the completed equipment before packing approval. These are related but different responsibilities.
VIEW MANUFACTURING & QUALITY →CONFIRM THE SHIPPING HANDOFF
Before shipment, confirm packing, documentation scope and the agreed handoff under the selected trade term. Destination customs, taxes and local handling responsibilities vary by market and should be verified with the buyer’s freight or customs partner when necessary.
FINAL PRE-ORDER CHECK
- Models and quantities confirmed
- Specifications reviewed
- OEM artwork / requirements approved
- Quotation scope understood
- Production and QC basis agreed
- Packing and shipping handoff confirmed
IMPORT PREPARATION QUESTIONS
Should freight be calculated before packing data is confirmed?
No. Freight planning is more reliable when the actual model, quantity, carton dimensions and gross weight have been confirmed.
When should OEM details be finalized?
Before production begins. Approved OEM details should become part of the order basis and later be checked on the finished product where applicable.
Who should confirm destination taxes and customs requirements?
Destination requirements vary by market. Buyers should confirm local customs, tax and import obligations with their freight forwarder, customs broker or relevant local professional.
TURN THE CHECKLIST INTO A QUOTATION.
Send your category, model or project requirement and we can align the quotation basis before the order moves forward.
